How to set up your email signature

As cold emailing software progresses, we have more options available to generate the different components of our emails.

We're going to walk you through the process with 4 email signature generators and 3 email service providers. ⬇️

Importance of a good email signature

It’s important to bear in mind that cold emails are usually skimmed, not read in detail (sad, but true). So it’s crucial to make your signature really stand out.

With your email signature, you’re leaving your final impression on your lead.

After a compelling email, sign off with a professional yet appealing signature to catch your lead’s eye at the last moment.

If your email signature is consistent, it’s a nice way to make sure that you’re always recognizable. By including a picture of yourself or your company logo, your lead will be able to recognize you from previous emails, valuable posts or articles, etc., which will make them see that you are a valuable asset.

Make sure to include links to your webpage or social profiles (work only, please), this will add social proof to your email, so your lead can easily research you and learn more about what you do and how you do. This adds more value and information to your cold email.

Let’s take a look at some of the best email signature generators we have available and how to set them up. ⬇️

lemlist

As you may know, lemlist offers a suite of mini-tools to help you out with all the important details in your cold emails.

With our email signature generator, you can create your signature in seconds.

Here’s how to do it:

First, choose the layout that fits you best. Choose if you want to include an image or not in this section.

Once you’ve chosen your template, it’s time for you to decide what information you will be including. If you do not wish to fill in any of the given slots, simply click “Hide” and that information will be omitted in your final signature.

After including all your desired details, simply click “continue! and your signature will be generated.

Be sure to double-check that all of the information is correct. If not, you can just go back and edit the details.

Now, to generate your signature simply click on “copy to clipboard” and save it.

Add your signature to lemlist

With lemlist, you can automatically add your signature to all of your campaigns.

  • Open your lemlist app
  • Click on the icon with your profile picture and go to Settings
  • On the tab on the left, select Sending Settings and go to Email Settings
  • Copy your signature and then make sure you add the {{signature}} custom variable to your emails

By not using HTML codes you can increase your email deliverability!

HubSpot

HubSpot offers a free email signature tool.

First, access their tools and pick your desired template. HubSpot offers 6 different templates you can choose from, where you can decide the layout and information you wish.

Click on the Details tab and include all of the information you wish to add, including links to your social media profiles.

In styles you can choose different font, sizes, colors, etc.

In the Image tab you can add your profile picture or other customs URLs you wish to include in your signature.

Once you have added all of the information you wish to add and the style is as desired, click on Create Signature and fill in this short questionnaire that will appear.

Once that is done, download your signature and you’re good to go.

Woodpecker

In three steps, you can generate your signature with Woodpecker.

You have the option to pick between a “plain text signature”, or one of the other 3 templates, which include images and links.

Plain text signatures only require filling in the first two steps, and you cannot modify the style (step 3).

In step 2, add all of your personal and contact information, including an email sign-off. You can choose from 3 options “regards”, “kind regards”, and “best regards”.

Also, add your image in this step.

If you have chosen one of the templates, you can move on to Step 3, where you can modify the style, font, and size of your email signature, and add the social media links you wish to include.

Once your email signature looks exactly how you want it to, click on create signature where you will be redirected to the following page.

You can download your signature or simply copy it.

Woodpecker includes 5 tutorials to add your email signature to Woodpecker and other major Email Service Providers.

To add your signature to Woodpecker, follow these steps:

  • Copy your email signature HTML code
  • In Woodpecker, go to settings → Accounts → Email Tab
  • Choose the address and find the gear icon in its row
  • In General Settings, select Signature and go to HTML mode
  • Paste your HTML code and switch back to text to ensure its correct
  • Lastly, click on Save Changes and your signature will be added in your following campaigns

Mailmeteor

With Mailmeteor, simply access the tool, and include your personal information in the first icon, such as your name, company, etc. In the second icon, add your contact details. The third section is dedicated to your profile picture and/or company logo. And lastly include the links you want associated to your email signature.

How to set up your signature in your email provider

If you’re not using a cold email software, you can still set your email signature as default to send out your emails.

We’ll leave you with the instructions for three of the major Email Service Providers:

Gmail

  • Go to Settings and click on “see all settings” on the drop-down menu
  • Scroll down until you reach “Signature”
  • Add your signature on “+ Create new”
  • Paste your signature
  • Set as default
  • Save your changes and you’re ready to go

Outlook

  • Open “All Outlook Settings” in the drop-down menu on the top right corner
  • Click on email → Compose and reply
  • Go to the Email Signature section
  • Paste your signature in “New Signature” and select as default
  • Don’t forget to save your changes

Yahoo!

  • On the top right corner, click on Settings and go to “More Settings”
  • Click on “Writing Email” and select the account you wish to use
  • Paste your signature
  • Voilà
